The challenge

A leading financial institution needed to relocate an entire data centre within New York City. With two Manhattan sites, one of which was being downsized, the transfer had to meet strict deadlines as the leased space was being vacated. Most clients were moved to the remaining data centre.

The client had never undertaken a project of this scale and faced limited budget and staffing. They required a partner to plan and oversee the move from start to finish.

Key concerns included minimising equipment damage, working seamlessly with other trades, and maintaining schedule flexibility.

The move had to occur in phases, after hours, so systems would be operational immediately at the new site. With tight timelines and another company taking over the space, meeting deadlines was critical.

Relocation with zero downtime

The Quick Logistics team developed an efficient plan that maximised flexibility and minimised equipment risk, all within a tight budget and timeline.

Our specialists ensured all equipment was delivered intact. Unlike previous moves that required removing and reinstalling equipment from racks, this project involved transporting fully racked cabinets using a specialised packing process and checklist.

The streamlined approach saved the client both time and IT resources. After successful test runs, the process was adopted as standard for all future data centre relocations within the organisation.

Secure, cost-effective and flexible transportation

Preparation, consulting and project planning

Quick saved the client considerable time at the origin data centre by eliminating the need to unrack and repack equipment. The team ensured that each cabinet was move-ready, significantly reducing both time and costs compared to previous relocations.

The project was phased and priced per stage, simplifying expense tracking and progress reviews.

With flexible scheduling, Quick accommodated system backup windows and coordinated efficiently with other vendors and trades. Advance planning ensured building requirements were met, and security and elevator staff were prepared for each phase.

Quick Logistics presented a detailed logistics plan with timelines and recommendations to keep the plan on schedule and within budget. They communicated and coordinated with all internal and external personnel involved with the data centre project to adhere to daily and weekly deadlines.

The Quick Logistics management team was onsite before, during, and after each move. After each project phase, post-move meetings were conducted to review past and upcoming moves, and plans were adjusted accordingly to meet the client's needs.
